Terms & Conditions - Green Wells Energies

Welcome to the Green Wells Energies LPG Cylinder Tracking & Monitoring System (“Service”). These Terms & Conditions (“Terms”) govern your use of our web portal, mobile apps (Scanner App, Vendor App, User App), and related services provided by Green Wells Energies Limited (“we,” “us,” or “our”). By accessing or using the Service, you agree to these Terms.

1. Definitions

Admin: Super-admin or distributor-level user of the web dashboard.
Distributor: Registered company unit overseeing vendors.
Vendor: Point-of-sale personnel or retailer using the Vendor App.
Customer/User: End-user with a User App account.
Cylinder Monitor: BLE device that reports gas-level, battery, and signal data.
Service: All software, applications, APIs, and dashboards offered by Green Wells Energies.

2. Accounts & Credentials

Admin Accounts are created by Green Wells Energies.
Distributor & Vendor Accounts are created or activated by an Admin.
User Accounts may be self-registered via the User App or created by a Vendor.
You are responsible for safeguarding your login credentials and must notify us immediately of any unauthorized use.

3. Scanner App (Depot Internal Use)

Register Cylinder: Scan QR/barcode → select size → save to database.
Issue to Vendor: Assign scanned cylinders to Vendor accounts.
Size Selection: Mandatory; cylinder size is recorded at registration.

4. Vendor App

Issue Cylinder

Scan cylinder → scan or lookup customer in the app.
If no account: follow in-app “Register New Customer” flow.
Confirm issuance to customer; status updates to Issued.

Return Cylinder

Scan returned cylinder → confirm customer.
Record return condition (Good, Damaged, Empty).
Status updates to Returned; cylinder becomes available in vendor inventory.

5. User App

My Cylinders: View linked cylinders, real-time gas %, remaining kg, battery & signal.
Add Monitor: Pair BLE device to cylinder via Bluetooth scan.
Usage Stats: Interactive charts of gas-level trends, refill history, average consumption.
Rewards: Earn points for on-time returns; redeem via the app.

6. Admin Dashboard

Cylinder Management: View, register, assign, flag overdue/lost, export data.
Distributor & Vendor Management: Register, activate/deactivate, view activity logs.
Customer Management: View profiles, filter by gas level <30%, <50%, manage accounts.
Analytics & Reports: Real-time dashboards, filtered exports (PDF/CSV), anti-theft alerts.
Roles & Permissions: Super-admin defines roles with feature access.

7. Data Use & Accuracy

Level Monitoring data (gas %, kg remaining, battery, signal) is provided “as is.” Always verify critical measurements before use. Green Wells Energies is not liable for device inaccuracies.

8. Intellectual Property

All software, logos, trademarks, and content belong to Green Wells Energies Limited or its licensors. You may not copy or distribute without written permission.

9. Prohibited Conduct

You agree not to:

Reverse-engineer, tamper with, or disable security features.
Facilitate illegal refilling or theft.
Share credentials or impersonate other users.

10. Limitation of Liability

To the maximum extent permitted by law, Green Wells Energies and its affiliates are not liable for any indirect, incidental, or consequential damages arising from your use of (or inability to use) the Service.

11. Modification & Termination

We may update or discontinue the Service or these Terms at any time. Continued use after changes constitutes acceptance. We’ll endeavor to notify you of material changes.

12. Governing Law

These Terms are governed by the laws of Kenya. Disputes will be resolved in Kenyan courts.
